Smart Venue Management System for Educational Institutions

Abstract
Efficient management of shared facilities plays a crucial role in ensuring that various academic and administrative activities run smoothly within an institution. Various departments have to share resources like seminar halls, classrooms, and auditoriums. Under manual handling, reservations will have scheduling conflicts and delayed communications. As of now, most institutions rely on written applications or informal coordination with some administrative staff for venue booking, making it impossible to track such reservations accurately. This paper describes a Smart Venue Management System designed to systematically organize the process of venue reservation in institutions. The proposed system is based on a mobile application and a centralized database, which stores the data on venue availability and bookings. Through a mobile interface, users can check available venues and submit booking requests systematically. Upon receipt of a booking request, administrative staff reviews the booking details; reservation is confirmed only after checking the availability of the requested timeslot. Automatic notifications are generated by the system to inform the user about the approval or rejection of the booking request. A shift from manual booking to an online platform reduces scheduling conflicts and improves communication between users and administrators for better management of shared institutional resources.
